This Job Applicant Privacy Notice (the “Notice”) informs you how International Flavors & Fragrances or its subsidiary or affiliate that has posted the position for which you have applied (“IFF”) will collect, process and/or use personal data you submit through the Careers at IFF section of the IFF website and throughout the application process as well as personal data that may be provided by third parties as further described below (“Applicant Information”). Your other use of the IFF website is governed by any applicable terms of use and our Website Privacy Statement.

All Applicant Information you submit to IFF is collected by IFF in the United States and also in the jurisdiction where the job you are applying for is located.

I. Applicant Information

We collect Applicant Information, which may include the following types of personal data:

  • Contact information (e.g., full legal name, address, email, telephone number, home contact details).
  • Identification information (e.g., date of birth, national ID, other governmental IDs and numbers).
  • Sensitive personal data (as permitted by local law).
  • Education and training, previous employment history, qualifications, references.
  • Proficiencies and skills.
  • Information regarding eligibility to work.
  • Salary/wage expectations.
  • CV/resume and application, interview data.
  • Background information (as permitted by applicable law).
  • Diversity, inclusion, and equal opportunity information (as permitted by applicable law).
  • Audiovisual information (e.g. information collected via call recordings, recorded meetings, videos, photographs, and CCTV footage).
  • Network activity (e.g. interactions with our portals, websites, applications, or advertisements).

You may give us the personal data described above during the recruitment process, whether through your application, further communications, on the telephone or during interviews.

We may also receive personal data about you from third parties: recruiters; references from a previous employer; business partners; sub-contractors providing recruiting or technical services; and analytics providers; as well as from publicly available sources such as social media where such personal data is proportionate to the position for which you are applying. We may also retain that personal data after you have been employed (where this is relevant and to the extent permitted by applicable law).

We may also receive information (which may include your personal data) from our hiring manager, from our Human Resources staff, and, from time to time, from our other employees (for instance, in the course of conducting an interview).

II. How Applicant Information is Used

Generally, we may process Applicant Information for the following purposes:

  • to determine your suitability for positions for which you have applied or may be suitable (and, with your permission where necessary, to notify you of additional positions in the future for which you may be suited).
  • to conduct background checks and screening, as permitted by applicable law.
  • to comply with government reporting requirements.

III. How Applicant Information is Disclosed

Generally, and to the extent necessary in connection with the job you have applied for or for which IFF determines you may be suitable, IFF may share Applicant Information as follows:

  • with affiliates and IFF personnel around the world to support our recruitment efforts.
  • to third parties in furtherance of recruiting or hiring related purposes, including in connection with any legally permitted background checks.
  • to service providers acting on IFF’s behalf in connection with recruitment efforts, resume reviews, job application processing.
  • to you to communicate with you and inform you of career opportunities.
  • to third parties when we engage in commercial transactions (e.g., buyers, sellers, financial institutions, law firms, consultants, and insurance companies).
  • to government entities, courts, law enforcement, regulators, and other third parties to comply with relevant laws or in connection with legal claims.

IV. International Transfer of Applicant Information

We and our affiliates and service providers process and store your personal data on servers around the world, including in the United States. Thus, your Applicant Information may be transferred to locations within and outside your home country, the European Economic Area, or the United States.

We have implemented information security measures to help keep your Applicant Information secure.

V. Your Rights and Choices

You can choose which Applicant Information, if any, to submit to us. Submitting any Applicant Information is voluntary. If you choose not to submit Applicant Information, our ability to consider you as a candidate for a job may be limited. You can contact us to ask us to correct or archive/erase your personal data.

SUPPLEMENTAL EEA/UK NOTICE

I. Scope of Notice

International Flavors & Fragrances Inc. ”) or its subsidiary or affiliate that has posted the position you have applied for (“IFF”) provides to individuals located in the European Economic Area and the United Kingdom this Supplemental Job Applicant Privacy Notice (“Supplemental EEA/UK Notice”). The information that you provide to us in the course of your application for employment with us, as well as other information that relates to you or other identified or identifiable individuals, (“Personal Data”) will be treated as set out in this Supplemental EEA/UK Notice. .

Throughout this Supplemental EEA/UK Notice we use the term “processing” to refer to all activities involving your Personal Data, including collecting, handling, storing, sharing, accessing, using, transferring, erasing, and disposing of Personal Data.

This Supplemental EEA/UK Notice is provided to you in compliance with data protection laws. It does not form part of any contract nor is it an offer of employment. This Supplemental EEA/UK Notice does not confer any contractual right on you or place any contractual obligation on us.

II. Controller

IFF, or the IFF affiliate in the jurisdiction where the job you are applying for is located, is the controller of your Personal Data. IFF and its affiliate may be considered separate or joint controllers of your data, depending on the circumstances of your application. You may exercise your rights as a data subject with either entity as set forth in Section 10 below. In addition, where processing of Personal Data is undertaken by other affiliates of IFF for their own purposes, these affiliates may be independent controllers, or joint controllers with us, in relation to your Personal Data and a separate privacy notice will be provided to you.

III. Purposes and Legal Bases for Processing

The Personal Data we collect during the recruitment process is required to assess your application for employment. If you do not provide some or all of this Personal Data, it may impact our ability to process your application and therefore to offer you employment. It may also mean we are unable to continue with your application.

We collect the Personal Data described above for the purposes of managing our recruitment activities, namely:

  • verifying academic and professional qualifications and employment eligibility;
  • verifying eligibility to work;
  • evaluating and selecting candidates;
  • setting up and conducting interviews and tests;
  • conducting evaluations, assessments and otherwise as needed in the recruitment process;
  • issuing employment offers;
  • bringing successful candidates into IFF;
  • dealing with queries or complaints relating to the recruitment process;
  • asserting or managing any kind of claims that we may bring or that may be raised against us;
  • complying with legal or regulatory obligations; and,
  • where appropriate, retaining information relating to unsuccessful candidates for consideration in future relevant vacancies.

We process your Personal Data for the purposes described above on the following legal bases:

  • EEA/UK Legal Obligations: our processing is necessary for compliance with an EEA/UK legal obligation to which IFF is subject
    ∘ purposes of processing relying on this legal basis: verifying eligibility for employment or complying with obligations regarding non-discrimination; complying with other legal or regulatory obligations such as law enforcement requests;
  • Contractual Obligations / Pre-Contractual Steps: our processing is necessary as disclosed to you prior or during the recruitment process, or in order to take steps at your request prior to offering you employment
    ∘ purposes of processing relying on this legal basis: bringing successful candidates into IFF; communicating with you about your application; or
  • Legitimate Interests: our processing is necessary for the legitimate interests pursued by IFF in hiring qualified and appropriate persons
    ∘ purposes of processing relying on this legal basis: setting up and conducting interviews and tests; conducting evaluations and assessments; verifying your academic, work and other qualifications; verifying references; evaluating and selecting candidates for further consideration; to issue an employment offer; to deal with queries or complaints; asserting or managing any kind of claims that we may bring or that may be raised against us; and to consider unsuccessful candidates for future vacancies.

IV. Sharing Your Personal Data

As part of a global company with affiliates in numerous countries, IFF may recruit applicants for its sites, and use resources, located outside the country where you live. Your Personal Data may be shared with affiliated companies where it is reasonable and necessary to do so, such as to ensure a consistent application of standards for candidate recruitment. Within IFF, your Personal Data can be accessed by or may be disclosed internally on a need-to-know basis to persons responsible for managing or making hiring decisions, Human Resources staff, system administrators and other support teams (such as IT and Finance).

Your Personal Data may also be accessed by third parties who provide us with services relevant to your recruitment, namely: recruiters; companies that host, support and/or maintain the IT systems supporting our recruitment system; and companies that verify your references.

If your application for employment with IFF is successful and you accept a job offer from us, your Personal Data may also be shared as described in our employee privacy notice, and notably with Human Resources management, payroll and benefits systems, and the Personal Data contained in such systems may be accessible by providers of those systems, their affiliated companies and sub-contractors; tax authorities; regulatory authorities; and our lawyers, auditors, investors, consultants and other professional advisors.

IFF may also share your Personal Data with our and third parties’ advisors, and potential acquirers and investors, if it becomes involved in a reorganization, merger, consolidation, acquisition, or any form of sale of some or all of its assets, with any type of entity, whether public, private, foreign or local.

IFF expects all third parties to process any Personal Data disclosed to them in accordance with applicable law and contract terms, including with respect to Personal Data confidentiality and security. Where these third parties act as a “processor” (for example, by verifying your references at our request), they carry out their tasks on our behalf and upon our instructions for the above-mentioned purposes. In this case, your Personal Data will only be disclosed to these parties to the extent necessary to provide the required services.

V. Security of Personal Data

We implement what we determine to be reasonable physical, technical, and administrative security standards designed to protect your Personal Data from loss, misuse, alteration, destruction or damage.

VI. Processing and Storage of Personal Data

Your Personal Data may be stored and processed in any country where we have facilities or in which we engage service providers, and, by using the Site, you understand that your Personal Data will be transferred to countries outside of your country of residence which may have data protection rules that are different from those of your country. When transferring Personal Data to entities located in a country outside the EEA or UK that have not received an adequacy decision from the European Commission (including the United States), we take measures to provide adequate protection for your Personal Data. We enter into data processing agreements and data transfer agreements that include standard contractual clauses approved by the European Commission or the UK Information Commissioner’s Office. Where applicable, you are entitled to request a copy of the relevant contract (Standard Contractual Clauses or UK equivalent) showing that appropriate safeguards have been taken to protect your Personal Data in connection with such transfer. We store Personal Data for as long as necessary to carry out the purposes for which we originally collected it and for other legitimate business purposes, including to meet our legal, regulatory, or other compliance obligations. Personal Data of candidates applying for jobs will be retained in accordance with applicable laws including those of the country to which you are applying..

Subject to conditions set forth in applicable data protection laws, you have the following rights:

  • Right to Access – You have the right to request access and a copy of any Personal Data concerning you, as well as additional information about how we process your Personal Data.
  • Right to Correct (Rectification) – You are entitled to have any inadequate, incomplete or incorrect Personal Data corrected.
  • Right to Withdraw Consent – In the event your Personal Data is processed on the basis of your consent, you have the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal. However, we generally do not rely on consent for processing applicants’ Personal Data.
  • Right to Data Portability – If we rely upon your consent as the legal basis for processing, or where processing is necessary to perform a contract to which you are party or to take steps at your request prior to entering a contract, and the Personal Data is processed by automated means, you have the right to receive all such Personal Data which you have provided to us in a structured, commonly used and machine-readable format, and also to require us to transmit it to another controller where this is technically feasible.
  • Right to Erasure – You are entitled to have your Personal Data erased under specific circumstances, such as where you have withdrawn your consent, where you object to processing based on legitimate interests and we have no overriding legitimate grounds or where Personal Data is unlawfully processed.
  • Right to Restriction of Processing – You have the right to restrict our processing of your Personal Data (that is, allow only its storage) where:
    ∘ you contest the accuracy of the Personal Data, until we have taken sufficient steps to correct or verify its accuracy;
    ∘ the processing is unlawful but you do not want us to erase the Personal Data;
    ∘ we no longer need your Personal Data for the purposes of the processing, but you require such Personal Data for the establishment, exercise or defense of legal claims; or
    ∘ where you have objected to processing justified on legitimate interest grounds (see below), pending verification as to whether we have compelling legitimate grounds to continue processing.

Where your Personal Data is subject to restriction we will only process it with your consent or for the establishment, exercise or defense of legal claims.

Right to Object to processing justified on legitimate interest grounds – Where we are relying upon legitimate interest to process Personal Data, you have the right to object to that processing based on grounds related to your particular situation. If you object, we must stop that processing unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights and freedoms, or we need to process the Personal Data for the establishment, exercise or defense of legal claims. Where we rely upon legitimate interest as a basis for processing, we believe that we can demonstrate such compelling legitimate grounds, but we will consider each case on an individual basis.

  • Right to lodge a complaint – You may lodge a complaint with the supervisory authority of your country of residence, place of work or place of alleged infringement.

CCPA JOB APPLICANT PRIVACY POLICY AND NOTICE AT COLLECTION

This California Applicant Privacy Policy and Notice at Collection (“Notice”) provides specific information for residents of California who apply to work with International Flavors & Fragrances, Inc., our affiliates, and subsidiaries (the “Company”, “our”, “us”, or “we”). This Notice is intended to satisfy our applicable notice requirements under the California Consumer Privacy Act (“CCPA”) (Cal Civ. Code § 1798.100 et seq.), as amended by the California Privacy Rights Act (“CPRA”). We may provide Applicants additional notices about our data collection practices that are covered by other laws (e.g., if we conduct a background check or extend an employment offer).

I. Scope

This Notice applies to applicants and other candidates for employment who are California residents and who apply to work for the Company (“Applicants,” or “you”).

What is personal information? In this Applicant Notice, “Personal Information” is any information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular California resident or household (subject to some exemptions under the CCPA).

What isn’t covered by this Notice? This Notice does not address or apply to our collection of Personal Information that is not subject to the CCPA. For purposes of this Notice, Personal Information does not include the following:

III. Purposes for Collecting and Using Personal Information

Generally, we may use the categories of Personal Information described above for the following purposes:

  • Recruiting and Hiring. We use the Personal Information we collect to evaluate your qualifications, suitability, and other relevant characteristics; to review and assess information you provide in connection with your application; to work with outside recruiters; to schedule and conduct interviews; to extend offers and make salary determinations; to support our equal opportunity employment policy and practices; and to otherwise recruit you as an employee.
  • Background Screening. We also use your Personal Information to conduct background screenings and right to work checks (where relevant and pursuant to applicable law).
  • Government Reporting. We also use your Personal Information to comply with mandatory government reporting obligations and applicable laws, including state and federal law requiring employers to maintain certain records.
  • Investigating Incidents. We may use your Personal Information to investigate privacy, security, or workplace-related incidents.
  • Securing Premises. We may use your Personal Information to secure our offices, premises, and physical assets, including through the use of electronic access systems.
  • Conducting Audits. We may use your Personal Information to conduct financial, tax and accounting audits, and audits and assessments of IFF’s business operations or security and financial controls.
  • M&A and Other Business Transactions. We use the Personal Information we collect for purposes of planning, due diligence and implementation of commercial transactions (e.g., mergers, acquisitions, financings, asset sales or transfers, bankruptcy or reorganization or other similar business transactions).
  • Defending and Protecting Rights. We use the Personal Information we collect to protect and defend our rights and interests and those of third parties, including to manage and respond to legal claims or disputes, and to otherwise establish, defend or protect our rights or interests, or the rights, interests, health, or safety of others, including in the context of anticipated or actual litigation with third parties.

Use of Sensitive Personal Information. Our collection, use, and disclosure of sensitive personal information is generally limited to what is reasonable and proportionate for the following purposes:

  • to comply with our legal, regulatory and reporting obligations;
  • to make reasonable accommodations where necessary;
  • to verify the information you provide to us;
  • as otherwise necessary to carry out our functions as an employer;
  • in support of our equal opportunity and diversity and inclusion efforts (on a voluntary basis);
  • where necessary to protect the health and safety of an individual; and
  • to protect and take action against malicious, deceptive, fraudulent, or illegal actions, security incidents. We do not use or disclose Applicant sensitive personal information for purposes except as described herein (and as permitted pursuant to Cal. Code Regs. tit. 11, § 7027(l) (2022)).

IV. Retention of Personal Information

We will retain the categories of Personal Information we collect for as long as reasonably necessary to support our ongoing legitimate business needs and to carry out the purposes described in this Notice or as otherwise required by applicable law. Generally, depending on if we have hired you or not, this means the following:

  1. Hired – if we offer you a position and you accept, we will retain your Personal Information for the length of your employment with us, plus a reasonable period of time following end of employment as required by applicable law or regulation, in order to bring or defend any legal action, or to continue to provide you with benefits if applicable
  2. Not Hired – if we do not offer you a position, or if we offer you a position and you decline, we will retain your Personal Information for a reasonable period of time from the date we notified you, or the date you declined, as required by applicable law or regulation, or in order to bring or defend any legal action.

V. Rights Regarding Your Personal Information

Under the CCPA, Applicants may have various rights regarding the Personal Information we collect. Importantly, these rights do not affect other rights you may have under the California Labor Code. Applicants who are California residents may have the following rights regarding their Personal Information:

  • Right to Know. With respect to the Personal Information we have collected about you in the prior (twelve) 12 months, you have the right to request from us (up to twice per year and subject to certain exemptions and carveouts):
    ∘ The categories of Personal Information we collected about you;
    ∘ The sources from which we have collected that Personal Information;
    ∘ Our business or commercial purpose for collecting, selling, or sharing that Personal Information;
    ∘ The categories of third parties to whom we have disclosed that Personal Information; and
    ∘ A copy of the specific pieces of your Personal Information we have collected, subject to whether it involves disproportionate effort on our part to obtain these specific pieces of Personal Information.
  • Right to Correct. Subject to certain restrictions, you have the right to request that we correct inaccuracies in your Personal Information.
  • Right to Delete. Subject to certain conditions and exceptions, you have the right to request deletion of your Personal Information that we have collected about you.
  • Right to Opt-Out. You have the right to opt-out of “sales” and “sharing” of your Personal Information, as those terms are defined under the CCPA. However, we do not sell or share your Personal Information so there is no need to exercise these rights.
  • Right to Limit Use and Disclosure. Subject to certain conditions and exceptions, you may have the right to limit the use and disclosure of “sensitive personal information,” as defined under the CCPA. However, we do not engage in activities triggering this right.
  • Right to Non-Discrimination. We will not discriminate against you for exercising any of the rights described in this section.

VI. Exercising Your Rights

Applicants who are California residents may exercise their CCPA rights via the methods described below:

Authorized Agent. You may designate someone as an authorized agent to submit requests and act on your behalf. Authorized agents will be required to provide proof of their authorization in their first communication with us, and we may also require that the applicant directly verify their identity and the authority of the authorized agent.

Businesses operating as an authorized agent on behalf of a California resident must provide both of the following:

  1. Certificate of good standing with its state of organization; and
  2. A written authorization document, signed by the California resident, containing the California resident’s name, address, telephone number, and valid email address, and expressly authorizing the business to act on behalf of the California resident.

Individuals operating as an authorized agent on behalf of a California resident must provide either of the following:

  1. A notarized power of attorney signed and dated by the California resident naming the authorized agent as the California resident’s representative; or

Verification.
